You can enrol workers using file transfer once you’ve set up secure file transfer protocol (SFTP). If you’re not sure if you’ve set up SFTP you can find more information in How to set up and use secure file transfer protocol (SFTP) (PDF).
You can also enrol workers by uploading a file through your online account or one by one on our website. Please see How do I enrol workers using file upload? or How do I enrol workers online? for more information. These options may be more suitable to your organisation if you have fewer workers to enrol or limited IT resources.
Please note that even if you’ve registered and are using SFTP you can still use one of the other options as well as or instead of SFTP.
We’d only recommend using SFTP if you have the support of technical specialists who can set up and maintain file transfer systems for you.
You’ll need to assess your workers so you know who to enrol and which enrolment type to use. For information on how to do this see Who do I need to enrol? You’ll also need to have informed your workers about enrolling them into NEST. You must do this before you enrol your workers. This is a legal requirement. For more information on how to do this see What should I tell my workers about using NEST?
It’s your responsibility to provide us with correct details. While you can make changes to member details once they’re enrolled, you’ll only have a short period of time to change certain details and there are implications to providing incorrect information to begin with. If the member receives their Member welcome pack and logs into their online NEST account before you notice the error, you won’t be able to make changes to a lot of their details.
The table below shows some examples of how you and the member can be affected if the information isn’t correct.
Box | Common errors |
Why it’s important to provide the correct details |
---|---|---|
Title |
Mr. when it should be Mrs. |
If you enrol a member with an incorrect title and gender, the member may need to provide evidence to show the correct information. |
First name, Middle name, Last name |
Mis-spelled names, first name and surname the wrong way round |
We’ll set the member’s account up using the details you send so they’ll receive communications that include the incorrect information. Also, when a member comes to take their money out of NEST, they need to provide evidence of their identity. If any part of a member’s name is incorrect and doesn’t match their documentation, the member will need to correct the mistake before being able to access their money. |
Date of birth |
Incorrect date, incorrect month, incorrect year |
When a member begins activating their online account, they need to provide their date of birth and NEST ID. If the date of birth they enter doesn’t match the one on our records, the member won’t be able to activate their account. Providing an incorrect date of birth would affect the member’s ability to opt out online or using our automated telephone service. Providing an incorrect year would also mean the member would be placed in the wrong Retirement Date Fund. |
Worker’s National Insurance (NI)number |
An incorrect or missing NI number may mean the worker isn’t entitled to tax relief and would also affect the worker’s ability to opt out online or using the automated telephone service. |
Please note that if you enrol a worker with incorrect details, you’ll need to let them know what’s happened. For example, we can’t stop a Member welcome pack being sent to an incorrect address or with the wrong personal details.
To find out about updating or changing a member’s personal details after you’ve enrolled them please see How do I edit a worker’s personal details?
